Education Issues Notifications to Prospective Bidders for Summer Maintenance Services

Qualified individuals, partnerships, and entities are now invited to submit their bid proposals to provide servicesfor the St. Thomas-St. John District’s summer maintenance programs which include: janitorial, fire extinguishers, general extermination and landscaping/grounds maintenance. Bidders will be required to provide all labor, materials and equipment, and otherwise do all things necessary to provide the services at various facilities throughout the district, according to a press release issued Thursday by the Department of Education.  The department will execute the following timeline:
ØThursday, July 26
Bid packages become available at the Property and Procurement and Auxiliary Offices located at the Curriculum Center in Estate Anna’s Retreat, St. Thomas
ØTuesday, July 31
Pre-bid meetings will be held at the Office of the St. Thomas-St. John District Superintendent, Conference Room, Curriculum Center in Estate Anna’s Retreat, St. Thomas.
The schedule is as follows:
9 – 10 a.m. – Landscaping; 10 - 11 a.m. – Janitorial; and, 11 a.m. – noon – Fire Extinguisher and General Extermination
ØThursday, August 2
5 p.m. - all bid proposals are to be received in a sealed envelope directed to the following:

Packages received will be stamped with the time and date immediately upon receipt, then opened and evaluated based on the criteria outlined. Proposals received after the deadline will not be considered, but will be retained by the department until after an award is made and then returned to the disqualified candidate.

Work to commence 
The department will render assistance to individuals, partnerships and entities to determine their qualification as a responsive bidder, and is requesting that all interested in bidding attend the pre-bid meeting scheduled. In determining qualification of a responsive bidder, the department will review the documents that bidders must submit in order to qualify with their bid proposal or upon request by the department. 
The list of documents may be required are as follows:
1.    Certificate of Resolution
2.   Articles of Incorporation/Organization
3.   By-Laws/Management Agreement
4.   Certificate of Good Standing/Existence
5.   Trade Name Registration or Renewal
6.   Current business license for construction/service to be provided
7.    Copy of liability insurance policy, along with a certificate of liability insurance issued to the Department of Education as a certificate holder, for personal and property damages, coverage not less than $25,000 separately, for any one claim, or specifically for the amount stated in the contract terms
8.   Worker’s Compensation Insurance Certificate
9.   Proof of bidder’s tax identification number in the form of a document issued by the IRS or IRB, or a completed W9
